The Hostess Booker Intern will support the Hostessing division of the business, they will schedule regular castings, to find new talent, to ensure that Wilhelmina has the best talent available in the market. They will be responsible for carrying out business development for the division, to ensure continual revenue growth. They will ensure that outstanding customer service is delivered, at all times.
Specific Duties and Responsibilities
Daily Operations & Database Management
-Ensure daily administrative duties are handled in a timely manner, for example: responding to all emails
-Update the database of hostesses, clients, and bookings on a daily basis
-Update photos, contacts and status of our hostesses
-Add or remove hostesses according to Wilhelmina’s standards and client’s feedback
-Creating a detailed leads list of potential clients and opportunities through market research
-Upload leads list on database
-Cold calling potential clients to arrange pitch meetings with Head Hostess Booker
-Preparing presentations tailored to the needs and requirements of each client/project
-Supporting Head Hostess Booker in assigning an attractive, yet profitable quotation for the client
-Attending pitch meetings with potential clients
-Following up post meetings with client, to maximize chances of getting repeat business
-Attend exhibitions, events, shows, conferences, launches and activations to stay up to date in the events world and meet potential new client
3. Talent Management
-Contact incoming inquiries and schedule Hostess casting calls and interviews
-Fill in Hostess Registration Form, collect pictures/video portfolios, and assess the Talents communication and interpersonal skills
-Upload successful Talent on to the database
-Assisting in numerous large and small-scale projects, which will include the following duties:
-Sending info sheets to hostesses for all upcoming projects
-Ensuring the hostesses are aware of the job details, are on time to meet with clients and with all their requirements for the upcoming event/project
-Choose the best uniforms according to client brief and budget and deliver to client
-Arrange hostesses transportation if needed
-Holding regular meetings with the hostesses, to ensure that the most suitable hostesses are selected for each project, also to relationship build with the hostesses.
4. Client Relationship Management
-Maintaining client relationships, ensuring consistent communication with clients, including sending regular updates on Wilhelmina and on any new hostesses/promoters added to the portfolio
-Attending events of clients to better understand their nature of business
-Attending events where we have provided hostesses, to assure high standards of work and maintaining client relationships
-Problems solving and resolving issues whenever it happens
-Ask for client’s feedback on the service provided by our hostesses post each job/project
Job Qualifications and Skills
Previous experience in a modelling agency is a plus, specifically in dealing with hostesses
Strong business development skills, to focus on growing the division
Ability to maintain outstanding client relationships, ensuring excellent customer service at all times
Excellent interpersonal and communication skills
Outstanding negotiation skills
Ability to build strong professional relationships with hostesses
Strong commercial focus, to ensure profitability for the division
Strong administration skills, to ensure timely responses to enquiries
