Description
We are seeking a highly organized and proactive Office Administrator to join our growing team in Dubai. The ideal candidate will be responsible for managing day-to-day office operations, providing administrative support to various departments, and ensuring the office environment runs smoothly. You will play a crucial role in maintaining efficient office workflows and supporting the overall success of our construction projects.
- Oversee daily office operations, including managing phone calls, emails, and correspondence.
- Maintain and organize office files, records, and documentation (both physical and digital).
- Handle scheduling and calendar management for team meetings, appointments, and events.
- Prepare and manage office supplies, ensuring adequate stock levels and placing orders when necessary.
- Coordinate and assist with travel arrangements for staff and executives.
- Assist in the preparation of project-related documentation, reports, and presentations.
- Act as a point of contact for internal and external stakeholders, including vendors, suppliers, and clients.
- Manage incoming and outgoing mail and deliveries, ensuring timely distribution.
- Support the HR department with employee records, leave management, and onboarding tasks.
- Ensure office compliance with health and safety regulations.
- Prepare and process invoices, purchase orders, and other financial documents in collaboration with the accounting team.
- Assist with organizing company events, meetings, and team-building activities.
- Perform other general administrative tasks as needed to support the management team.
- Proven experience as an Office Administrator, Administrative Assistant, or similar role (preferably in the construction or engineering industry).
- Strong organizational and multitasking skills with the ability to manage time effectively.
- Excellent communication skills in English (Arabic is a plus).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Strong interpersonal skills with the ability to interact with staff at all levels.
- Positive, proactive, and flexible attitude.
- Valid UAE work permit (if applicable).

The ideal candidate should have bachelor qualification and atleast 1 year of experience. The position require administrator, administrative support, documentation, travel arrangements, leave management, office management mandatory skills.
