Job Description & Responsibilities

As a Secretary cum Admin Assistant, you will play a crucial role in ensuring the smooth running of our office by providing efficient administrative support to our team. Your responsibilities will include managing daily office tasks, facilitating communication between departments, and assisting in project management. You will be the first point of contact for visitors and clients, managing correspondence, scheduling meetings, and supporting our executives in various administrative tasks. You will work closely with all levels of staff within the organization, requiring a dynamic and organized approach to multitasking. This role is vital in maintaining a structured and efficient workplace environment, contributing significantly to the company's overall success.

Responsibilities
  • Manage and organize office procedures, systems, and layouts efficiently.
  • Provide comprehensive administrative support to the executive team members.
  • Coordinate and schedule appointments, meetings, and conferences meticulously.
  • Handle all incoming and outgoing correspondence and ensure timely delivery.
  • Prepare, proofread, and edit documents, reports, and presentations accurately.
  • Manage office supplies inventory and place orders as needed to maintain stock.
  • Assist in the planning and execution of company events and activities.
  • Maintain confidential records and files, ensuring data security and integrity.
  • Facilitate communications between departments to streamline operational activities.
  • Manage travel arrangements and itineraries for executives and staff members.
  • Monitor and manage office budgets, expenses, and financial records responsibly.
  • Assist with HR functions including staff onboarding and training coordination.
  • Bachelor's degree in Business Administration or a related field preferred.
  • Proven experience as a secretary or administrative assistant in an office.
Requirements:
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent verbal and written communication skills are essential.
  • Strong organizational and multitasking capabilities in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information securely.
  • Exceptional time management skills with a keen attention to detail beneficial.
