Position Overview:
The Medical Secretary provides high-quality administrative and secretarial support to medical consultants, departments, and patients. This role ensures the smooth coordination of appointments, medical documentation, correspondence, and patient records while maintaining strict confidentiality and professionalism.
The ideal candidate will have excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Key Responsibilities:
Administrative & Secretarial Support
Provide administrative and clerical support to consultants and clinical teams.
Manage calendars, schedule appointments, and coordinate meetings for doctors and patients.
Type and prepare medical reports, letters, discharge summaries, and clinical correspondence accurately and promptly.
Maintain organized filing systems (electronic and manual) for medical records and patient documentation.
Patient Coordination
Act as the primary point of contact for patients, managing phone calls, emails, and inquiries courteously and efficiently.
Schedule and confirm patient appointments, procedures, and follow-ups.
Coordinate with insurance and billing teams to ensure accurate processing of claims and documentation.
Support the smooth flow of patient care by liaising with nurses, physicians, and other hospital departments.
Documentation & Record Management
Ensure timely transcription of medical notes and dictations.
Maintain confidentiality of patient information in compliance with data protection and hospital policies.
Assist in preparing reports and presentations as required by medical staff or management.
Update and track patient records in the hospital information system.
Operational Support
Prepare documentation for meetings, minutes, and correspondence.
Support doctors with travel arrangements, conference registrations, and CME documentation if required.
Maintain inventory of office supplies and coordinate service requests for office equipment.
Qualifications & Experience:
Diploma or Bachelor’s degree in Administration, Secretarial Studies, or related field (Medical Secretary certification preferred).
Minimum 2–4 years of experience in a hospital or clinical setting.
Proficiency in MS Office (Word, Excel, Outlook) and healthcare information systems (e.g., HIS, EMR).
Strong typing and transcription skills with high accuracy.
Excellent written and verbal communication skills in English (Arabic knowledge is an advantage).
Knowledge of medical terminology and healthcare documentation standards.
