The Assistant Commercial Officer plays a pivotal role within the company, reporting directly to the Commercial Director. This position involves collaborating closely with the Commercial Department to handle and coordinate various commercial aspects of our organization. The Commercial Officer will assist in tendering procedures, pre qualification processes, marketing, administrative tasks, and market intelligence collection, among other responsibilities:

• Lead the tendering process, encompassing bid preparation, evaluation, and submission, while ensuring strict adherence to project requirements and deadlines.
• Assist in addressing clients' inquiries and clarifications related to bids.
• Manage pre qualification procedures and vendor qualifications.
• Monitor clients' websites and supplier portals for tender announcements.
• Aid in drafting quotations and maintaining a comprehensive database of inquiries received and quotations sent.
• Assist the Commercial Department with daily administrative tasks, including drafting professional emails and letters, file management (both digital and hardcopy), organizing files, scheduling meetings, and handling phone calls.
• Collaborate in writing and editing marketing materials such as presentations, articles, and introductory/thank you emails.
• Assist in drafting reports relevant to the commercial department's activities.
• Communicate requirements to shipbrokers, shipowners, and partners discreetly, following the guidance and instruction of the Commercial Director.
• Attend external meetings, exhibitions, seminars, and conferences for networking, client management, and additional training.
• Contribute to the collation of market intelligence information and competition profiling.
• Ensure strict adherence to the company's quality, health, safety, security, and environmental policies.

Knowledge and skills required:

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Knowledgeable with tendering/bidding procedures
• CRM system familiarity, understanding of tendering/bidding processes.
• Ideally, a Technical/Engineering background.
• Strong administrative & organizational skills.
• Exceptional technical writing, editing, proofreading.
• Self-sufficient with minimal supervision.
• Collaborative, open to feedback.
• Excellent written & verbal communication.
• Excellent time management & prioritization.
• Discreet & highly confidential.
• Proven maritime/commercial experience.
• Strong analytical & research skills.
• Proficiency in MS Office.
• Knowledge of maritime regulations
