Description

Concierge & Administrative :

  • To exercise effective access control policing, as per stipulate instructions.
  • Welcoming resident guests. Announce all visitors to the clients and tenants. Keep all visitors at the front desk until permission is received from the unit resident/tenant. Remain vigilant of non-residents and their purpose for being on property
  • Maintain a clean and pleasant environment
  • Monitor use and return of carts. Keep appropriate records in the logbook
  • Handle transactions like accepting and logging packages, managing visitors and deliveries
  • Manage Building's visitors parking and ensure usage allowed to visitors only. In
  • event parking is full, liaise with other Building Concierge for parking spot and guide visitors to the available parking spot
  • Maintain residents log file, which may include information regarding Owner & Tenants Mobile number, work telephone, number of vehicles parked on property, assigned parking number/permit, Ejari details and emergency information
  • To establish supportive relationships with residents and deal with problematic difficult
  • situations in an appropriate and sensitive manner.
  • To be accessible and responsive whilst on shift to the Concierge team, service users, local community, authorities etc. who are conducting On-Call Service
  • To provide comprehensive and high level of customer service by being vigilant, alert,
  • proactive, approachable and responsive to the needs of the residents at all times.
  • Assist the residents and visitors with a multitude of individual enquiries in a timely and
  • professional manner.
  • Coordination for the door delivery of Documents/Notice of Violations/Reminders etc. issued by the OA Manager/Security
  • To keep track of Occupant database and exercise Move In Move Out procedures effectively
  • Provide special services (i.e. car rental, taxi reservations lost language) to residents.
  • Continually deliver and maintain high service standard required for the daily operation.
  • Be familiar with OA (Owners Association) services, its operations hours of operations.
  • Maintain a professional and courteous attitude towards all residents and visitors.
  • Supervise all Common area areas to the extent of Concierge jurisdiction.
  • Be available during busy hours whenever possible.
  • Be available to interact and provide assistance with residents during Community events and
  • activities.
  • Preform services in an agreed and efficient manner maintaining the profile and reputation of the Employer.
  • Ensure visitors /Contractors /agents are signed when entering the residential building via the lobby and adhere to the security procedures of the Owners Association and to the protocols of the local authorities.
  •  Arrange and track Common Area requests.
  •  Arrange and track Taxi /Transport orders for residents (when the service is introduced)
  •  Provide coordination of requests of the resident and various maintenance and other service providers pertaining to the service request for maintenance, housekeeping, laundry deposit and collection facilities. etc.
  •  Provide list of approved maintenance and other service providers upon request Maintain Shift Handover Communications Log.
  • Maintain daily log report of activities and occurrence.
  • Provide daily log report of possible occurrences requiring management involvement.
  • Answer the phone in a timely manner.
  • Manage the issuance of Owners Association operation forms/templates
  • Manage storage locker booking, keep track of expiry and communicate the same with the lessees.
  • Maintain tariffs for storage locker hire and process requests without any discrepancies. Process approved Move in / Move out requests in line with stipulated process and procedures.
  • Effective use of OA Management portal/software (when deployed)
  • Track and manage booking of any common area facilities.
  • Manage SOP for the issuance and control of access cards on behalf of the manager, hard keys as well as utilizing the Key Software installed in the building.
  • Program access cards for residents (when introduced)
  • Monitor any trespassing / violations using the CCTV system and apprehend perpetrators.
  • Reporting breaches of Community rules to the Association Manager and following escalation procedures.
  • Collect and manage cash for visitors exceeding maximum hours of parking. Deposit cash the following day with Nakheel Sales Centre Cashier department (when system and process is introduced)
  • Provide a copy of rules to new residents.
  • Obtain move in/out deposits for possible damage to the common areas. (when deployed)
  • Schedule the use of service elevator for move in/out access (protection sheet).
  • Maintain and report weekly occupancy report.
  • Maintain and report monthly access card issuance and tracker report.
  • Daily occurrence /incident report aa) Move in / out report.
  • Service disruption report
  • Coordinate with security department regards to security issues i.e. lost and found dd) Escalate any building complaints via written report liaising with the Employers staff

The ideal candidate should have female, 2 years experience qualification and atleast 2 years of experience. The position require concierge, exercise, access control, resident, front desk, unit, property, environment, monitor, transactions, logging, parking, usage, building, spot, owner, mobile, telephone, emergency, manager, operations, events, residential, housekeeping, management, forms, control, access mandatory skills. This is a Full-Time morning shift job.Salary vary between 1k to 2k (AED) per month depending upon skills and years of experience candidate got.
